Usage guide

Signing in

  1. Enter your email and password, then select Sign in.
  2. CuraOS emails you a 6-digit code. Type it in and select Verify. The code works once and expires in 10 minutes. If it doesn't arrive, check your spam folder, then select Send a new code.
  3. If you set up an authenticator app under Settings → Security, CuraOS asks for the code from the app instead of emailing one. If you lose your phone, enter one of your backup codes.

Forgot your password? Select Forgot password? on the sign-in page and enter your email. The link we send works once, for 60 minutes.

New staff member? Your clinic's administrator adds you under Users, and you get an email with a link to set your password. The link works for 72 hours. If it has expired, ask your administrator to select Resend invite.

Setting up a new clinic

After you sign up and verify your email, the setup wizard opens. Work through the steps in order; you can come back to any step later.

  1. Clinic profile: name, phone, an additional contact number, address, GSTIN, registration number and logo (PNG, JPG or WebP). These are printed on prescriptions, receipts and reports.
  2. Doctor: the doctor included in your plan, with their specialties, registration number, consultation fee and qualifications (degree, issuing body and year, with an optional scan of the certificate). Qualifications are private to your clinic's administrators. Leave the password blank to email the doctor a link to set their own.
  3. Working hours: working days, opening and closing times and appointment length. These create the doctor's appointment slots.
  4. Treatments (optional): procedures you offer, with price and GST. They are added to your billing service list, so they can be billed straight away.
  5. Staff (optional): add receptionists, nurses, pharmacists and others. Each one is emailed a link to set a password.
  6. Modules (optional): switch on the departments you run, such as Pharmacy, Laboratory or IPD.
  7. Notifications: how CuraOS messages patients and staff.
  8. Finish: accept the terms. You then land on Home.

Home and finding your way

Home shows a tile for each module your role can open. Use Search modules & features… at the top to jump to any screen, or Quick Action for New Patient, New Appointment and Walk-in / Queue.

Each role sees only its own work. Doctors see their own patients, nurses see the patients assigned to them, and staff with a branch see only that branch. Front desk, billing, pharmacy and store staff never see clinical notes or prescriptions.

Patients

  1. Open Patients EHR and select Add Patient. A phone number or an ABHA number is required.
  2. To register with an ABHA, select Register with ABHA (if your clinic has ABDM switched on).
  3. Search by name, phone, patient number or ABHA number. Open a patient to see their visits and Documents.

Appointments and the queue

  1. Book from Appointments with + New Appointment: choose the patient, doctor, visit type and slot.
  2. When the patient arrives, select Check in. Use No-show or Cancel to free the slot.
  3. For a walk-in, open Queue, fill in Walk-in patient and select Add to queue. No slot is needed.
  4. Each queue token shows where the patient is: Billing, Pre-consultation, Ready for doctor, then With doctor.
  5. To show the queue on a waiting-room TV, open the Waiting room display link on the TV. It needs no login and refreshes every 10 seconds.

OPD billing and payments

  1. Open OPD & Billing and use Select Patient to find the patient.
  2. Add services from the catalog. Apply a Discount if needed; GST is added automatically.
  3. Choose the Tender Mode (cash, card or UPI/QR), take payment and select Print Receipt. Use Hold Bill for Later to finish it later.

Unless your clinic has switched this off, the OPD visit must be paid before the doctor can write notes, prescriptions or orders. Change prices and services in Manage Catalog; past bills are under Invoices.

Consultation and prescriptions (doctors)

  1. Open the patient from your queue. The Doctor Encounter page shows Intake Vitals, past visits and lab history.
  2. Record the complaints and examination (S, O, A, P), then select Save SOAP Note. Save Draft keeps your work without finishing it.
  3. Under Assessment & Diagnoses, search ICD-10 codes and select Add Diagnosis.
  4. Add medicines with Add Drug (dosage, frequency, route and duration), then Sign Prescription. Controlled substances ask you to confirm first.
  5. Order tests with Order Tests and scans with Order Imaging. They go to the laboratory and radiology worklists.
  6. Add care instructions and an optional follow-up date, then Sign & Complete Encounter. A signed encounter can no longer be edited.

Share the prescription with Download PDF or Share Link. To admit the patient, select Admit to IPD. If your clinic turned on Record vitals before consultation, a nurse records vitals at pre-consultation before you can start.

Pharmacy

  1. Signed prescriptions appear in the Pending dispense queue under Pharmacy. Open one and select Dispense.
  2. Watch Below reorder level and Expiring / expired batches on the same page.
  3. Manage stock under Stock, and buying under Purchase Orders and Suppliers.

Laboratory and radiology

  1. Ordered tests appear on the Worklist with their priority: Routine, Urgent or STAT.
  2. Open an order to collect the sample, enter results and release them to the doctor.
  3. A critical value stays highlighted until someone selects Acknowledge.
  4. Add or price tests in the Test Catalog. Radiology works the same way for scans.

Inpatients (IPD), nursing and discharge

  1. Under IPD, select New admission and choose the attending doctor, then open the admission and use Assign Bed & Admit. Bed Map shows free beds.
  2. Doctors add round notes with Add round note and medicines with Order medication. Nurses see their tasks under Nursing.
  3. Pharmacy charges and bed charges are added to the running bill. The page shows the outstanding balance.
  4. To discharge: Discharge Planning → Generate discharge summary → Finalise Discharge, then Download discharge summary PDF.

Staff and access (administrators)

  1. Open Users, fill in the person's name, email, role and branch, and add them. They are emailed a link to set their password.
  2. Until they set it, their status shows Invite pending. Select Resend invite if they didn't get the email.
  3. To give someone extra modules, select Manage in the Access column and tick the modules under Additional modules. Prescribing, clinical notes and user administration can't be granted this way.
  4. If a staff member loses their authenticator phone, select Reset next to their two-factor status.
  5. If someone can no longer get email at their sign-in address, select Change email and enter their new address. We email a confirmation link there; the sign-in email changes only when they open it, and their codes go to the new address from then on. Check who you're talking to first. If the clinic's only administrator has lost their email, contact CuraOS support.

Doctor logins depend on your plan's doctor seats; staff logins are unlimited.

Settings, security and subscription

  • Site Settings: your clinic's name, contact numbers, GSTIN, logo and address.
  • Branches: add locations. Staff with a branch work only in that branch.
  • Security: set up an authenticator app (recommended) or keep email codes, and save your backup codes.
  • Audit Log: who changed what, and when.
  • Subscription: your trial or plan, doctor seats and invoices. Paying during the trial doesn't cut it short.

Registering on ABDM (HPR and HFR)

To create ABHA numbers and share health records through ABDM, each doctor needs an HPR ID (Healthcare Professional Registry) and the clinic needs an HFR ID (Health Facility Registry). Filling in the forms takes about an hour; approval usually takes 2 to 6 weeks.

Portals: HPR hpr.abdm.gov.in · HFR facility.abdm.gov.in · ABHA abha.abdm.gov.in · information abdm.gov.in. ABDM helpline: 14477 or 1800-11-4477 (toll-free).

Keep ready: the doctor's Aadhaar number and the mobile phone linked to it, medical council registration number and certificate, degree certificates, a photo; for the clinic, its name exactly as on the licence and signboard, full address with PIN code, clinic registration (if your state requires it), phone, email, timings, and photos of the outside board and inside.

1. Each doctor registers on HPR (20–30 minutes):

  1. Open hpr.abdm.gov.in and select Register Now. Verify with the Aadhaar OTP, or sign in with your ABHA number.
  2. Choose your HPR ID (username) and note it down.
  3. Select Doctor and your system of medicine, then your medical council and registration number.
  4. Add your qualifications and upload the registration and degree certificates.
  5. Add your clinic as your current place of work, then submit. Your medical council verifies it, usually in 1 to 4 weeks.

2. The clinic registers on HFR (30–60 minutes). The owner or a doctor fills this in as the facility manager; you don't have to wait for the HPR approval.

  1. Open facility.abdm.gov.in and sign in as facility manager with your HPR ID and the OTP sent to your mobile.
  2. Select Register Facility. Ownership: Private. Facility type: Clinic or Polyclinic. Add the systems of medicine you offer.
  3. Enter the address and drop the map pin on the clinic itself, then contact details, timings, specialities and services.
  4. Upload the documents and photos, then submit. You see a 12-character HFR ID (it starts with IN) straight away; the district verifier approves it, usually in 1 to 5 weeks.

3. Add the IDs to CuraOS once approved:

  1. Administrator: Site Settings → Profile, enter the HFR ID (ABDM) exactly as on the HFR portal, then Save changes.
  2. Each doctor: Doctor Portal → My Profile, enter the HPR ID (ABDM), then Save profile.
  3. Tell CuraOS support your HFR ID so we can connect your clinic to ABDM.

Common mistakes:

  • No OTP: the mobile linked to Aadhaar has changed. Update it at an Aadhaar centre first.
  • Names don't match: your name must read the same on Aadhaar and the council certificate. Don't type "Dr." in name fields.
  • Wrong council: choose the council that issued your registration certificate.
  • Unclear uploads: upload clear scans of the whole page, PDF or JPG, under 2 MB.
  • Clinic name or map pin wrong: use the name on the licence and signboard, and put the pin at the clinic, not at home.
  • Registering the clinic twice: it is rejected as a duplicate. Submit once and follow up with the HFR ID.
  • Wrong ownership: a private clinic is Private, not Government.
  • Entering the HFR ID in CuraOS before approval, or entering the HPR ID where the HFR ID goes.
  • Not checking the status: sign in to the portals every week. If a verifier sends the form back, correct it rather than starting again.

Times are approximate and vary by state. If the HFR approval takes more than 6 weeks, call 14477 or your district ABDM nodal officer.

Desktop and mobile apps

  • The Windows desktop app works without internet once you have signed in on that computer online. Offline, you unlock it with your password only; it syncs when the connection returns.
  • The Android app shows your queue and patients. Sign in with your email, password and the emailed code, as on the web.

Common problems

  • No sign-in code: check spam, wait a minute, then select Send a new code. After five wrong codes, wait 15 minutes.
  • Can't get email any more: ask your clinic administrator to change your sign-in email (Users → Change email). The sign-in code always goes to your sign-in email, so nobody can skip it.
  • Invite link expired: ask your administrator to select Resend invite, or use Forgot password?.
  • A module is missing: your role may not include it, or the clinic has switched it off. Ask your administrator.
  • The doctor can't start the consultation: the OPD bill may be unpaid, or vitals may be needed first.
